The Property Logistics Coordinator is responsible for providing high level administrative support and coordination for property elements of event delivery, and efficient friendly customer service to the property branch more broadly. The position is the primary point of contact for the Offices’ events (Program) team to ensure logistical elements required for successful event delivery are prepared.Β 


Areas of administrative support include planning for event delivery, scheduling, contractor escorting, security administration, procurement, asset management, records management and documenting of standard operating procedures and processes.Β 


Under limited direction, the role is responsible for:

β€’ Coordinating all property elements for event delivery ensuring information is complete, timely, and accurate.

β€’ Leading collaboration with the Program Team by working collaboratively within team environments, sharing information, supporting colleagues and contributing to the achievement of team objectives.

β€’ Providing high level administrative support to the property and projects branch, particularly in facilities related work order management and security administration.

β€’ Assisting with the management of budgets and lead procurement activities.

β€’ Coordination of permits, approvals and insurance requirements where applicable.

β€’ Supporting emergency response planning, risk assessment process, and incident management activities during events.

β€’ Leading security support for event delivery.

β€’ Providing on-site event coordination and troubleshooting when required.

β€’ Coordinating event staff, volunteers and support personnel as required.

β€’ Collecting feedback and assist with post-event evaluations and reporting.

β€’ Documenting standard operating procedures and business processes for the branch and identifying opportunities for continuous improvement.

β€’ Maintaining electronic records management system for property and projects branch.

β€’ Identifying opportunities to optimise processes, procedures and work practices, contributing to continuous improvement initiatives.


The successful candidate must:Β 

β€’ be an Australian citizen at the time of application

β€’ be willing to undergo a Nationally Coordinated Criminal History Check (NCCHC) prior to an offer made

β€’ be able to obtain and maintain a Baseline security clearance for the duration of employment; and

β€’ take reasonable steps to avoid any real, potential or perceived conflict of interest in connection with their employment with the Office, and disclose any material personal interests that may result in a conflict of interest.


Employment with the Office is in accordance with section 13 of the Governor-General Act 1974. Ongoing APS employees engaged under the Public Service Act 1999 are entitled to leave without pay to undertake employment with the Office of the Official Secretary to the Governor-General. In accordance with section 67 of the Australian Public Service Commissioner's Directions 2022, the employee's agency head must grant this leave and, on completion of their employment with the Office, provide employment at the employee's substantive classification level.
