Purpose of the Role
We are seeking an experienced and motivated Practice / Operations Manager to lead the day-to-day operations of our busy and friendly veterinary clinic. This is a key leadership role, ensuring the smooth running of the practice while supporting our clinical team to deliver outstanding patient care and client service.
As Practice / Operations Manager, you will be responsible for overseeing operational, financial, and people management functions of the clinic. You will work closely with the Directors to drive efficiency, foster a positive workplace culture, and support the long-term growth of the practice in alignment with VECA’s values.
This leadership role is instrumental in ensuring VECA remains the trusted provider of choice for referring veterinarians, pet owners, and staff, upholding the organisation’s reputation for excellence across the veterinary community.
Reports to: VECA Directors
Direct Reports: Clinical Director and Nurse Leads
Key Responsibilities
• Manage daily clinic operations, workflows, and scheduling
• Oversee rostering issues and escalations, actively managing fatigue risk and staff wellbeing
• Manage timesheets and ensure payroll is accurate and completed on time
• Manage staff availability, engagement, and morale, acting as the first point of contact for people-related matters
• Lead, support, and develop the non-clinical team (reception, nursing, support staff)
• Oversee HR functions including recruitment, onboarding, rostering, and performance management in collaboration with the HR Manager.
• Manage financial operations including budgeting, invoicing, and stock control
• Ensure compliance with workplace health & safety, regulatory, and veterinary industry standards
• Maintain and improve client service standards and clinic processes
• Liaise with suppliers, contractors, and external service providers
• Support strategic planning, reporting, and business development initiatives
• Ensure Standard Operating Procedures (SOPs) are consistently followed on the clinic floor
• Act as the primary operational escalation point, filtering and resolving issues to allow Directors to focus on strategic priorities
About You
• Proven experience in a practice, operations, or business management role (veterinary or healthcare experience highly regarded)
• Strong leadership, communication, and organisational skills
• Sound understanding of HR, finance, and operational systems
• Ability to manage competing priorities in a fast-paced environment
• Confident problem-solver with a collaborative, people-focused approach
• Experience with practice management software is an advantage
• Support staff training to ensure awareness and adherence to all professional and legislative obligations.
• Stay informed of regulatory changes and ensure VECA’s policies, protocols, and practices remain current.
