Location/Division Specific Information

This role is a permanent, full-time role and is based at our site in Brisbane.

Group / Division: PSG / Drug Substance division

Position Summary:

The Inventory Controller is the custodian of stock integrity and systems accuracy. This role ensures that every physical movement within the facility is reflected perfectly in the digital environment (SAP) while adhering to strict cGMP and GDP standards. You will lead the auditing process, investigate deviations, and ensure the facility is always "audit-ready" for regulatory bodies.

This role also provides back-up support to Distribution Supervisor.

Key Responsibilities:

Inventory Integrity & SAP Administration

  • System Ownership: Ensure accurate, complete, and consistent administration of all material movements in SAP to cGMP standards.
  • Audit Leadership: Lead and execute Cycle Counts as per SOP requirements; maintain high inventory accuracy through regular physical-to-system reconciliations.
  • Discrepancy Investigation: Report and investigate any inventory deviations; support the management team in writing SOPs, Work Instructions, and Deviation Reports.
  • Put-Away Oversight: Perform audits on put-away tasks to ensure materials are in designated storage locations and correctly recorded.
  • Financial Reporting: Support the Finance team with End of Month/Year reporting and stock valuations.

Operational Flow & Coordination

  • Inbound/Outbound: Coordinate and process incoming and outbound goods, maintaining the strict order and timing of dock activities.
  • Lead Goods Flow: Optimize internal movement processes and lead upgrades or expansion programs for materials management.
  • Stock Availability: Proactively identify and raise material unavailability to relevant stakeholders to prevent supply gaps.
  • Internal Support: Coordinate material requests from departments or picking lists; maintain excellent internal customer service and professional relations with transport companies.

Quality, Safety & Facility Compliance

  • Audit Preparation: Coordinate and prepare the site for Regulatory (TGA/FDA) and Internal Audits.
  • cGMP Standards: Ensure all storage and flow of materials meet cGMP/GDP requirements, including the coordination of warehouse/cold room cleaning and freezer calibrations.
  • Equipment & Safety: Perform daily warehouse equipment checks and maintain logbooks; execute specific EH&S tasks to ensure a safe work environment.
  • Licensing Tasks: Assist in driving company vehicles and operating forklifts as required for stock movement.

Continuous Improvement & Projects

  • PPI Activities: Participate in and lead Practical Process Improvement (PPI) initiatives to lean out warehouse operations.
  • Special Projects: Contribute technical expertise to special projects and teamwork initiatives as needed.

Minimum Requirements/Qualifications:

  • Certification: Warehouse certification or a related Diploma in Logistics/Supply Chain.
  • Systems: Proven experience with SAP is essential.
  • Compliance: Significant experience in cGMP and GDP environments, preferably within a manufacturing facility.
  • Licensing: Valid Forklift (LF) and Open Car License (Mandatory).
  • Experience: Demonstrated background in inventory control and materials management

Skills & Attributes:

  • Communication: Proficient in English (written and oral) with the ability to write technical reports and SOPs.
  • Analytical Skills: High attention to detail with the ability to spot trends in data and stock movement.
  • Team Player: An excellent standout colleague who can interface with Procurement, Finance, and Production teams.

Other Important Information:

Activities within the warehouse department need to be done in line with cGMP requirements. A high degree of work scheduling and prioritization of job tasks is important and working with multiple internal customers and IT systems.
