About the Role

We are on the hunt for an Executive Assistant to the National Operations Manager to join our dynamic team in this newly created part-time role (22–30 hours per week) at our Epping, VIC head office. Days and hours are flexible for the right candidate, making this an excellent opportunity for someone seeking meaningful work with a balanced schedule.

This is an exciting and fast-paced opportunity to work directly with our National Operations Manager, providing high-level administrative and operational support across the business. You will be the go-to person for coordination, organisation, and communication between teams — helping ensure smooth day-to-day operations and strategic execution of key initiatives.

In this role, you’ll be involved in a wide range of activities — from diary management, reporting, and stakeholder communication to project coordination, data analysis, and process improvement. It’s a role for someone who thrives on variety, organisation, and being one step ahead.

Key Responsibilities

  • Providing proactive executive support to the National Operations Manager, including calendar management, travel arrangements, and meeting coordination.
  • Preparing and reviewing correspondence, reports, and presentations.
  • Coordinating meetings, taking minutes, and following up on key actions.
  • Supporting cross-departmental projects and assisting in monitoring progress against key business objectives.
  • Managing confidential information with discretion and professionalism.
  • Liaising with internal stakeholders across departments to ensure seamless communication and task completion.
  • Assisting with data-driven analysis, operational reporting, and financial performance tracking to support decision-making.
  • Identifying opportunities to streamline processes and improve administrative systems.

What You Need to Succeed

  • Exceptional attention to detail and the ability to prioritise competing deadlines.
  • Strong written and verbal communication skills.
  • Advanced Microsoft Excel skills, including data manipulation (x-look up, pivot tables), formula use, and report generation.
  • Exposure to financial reporting and data-driven analysis to support business operations.
  • Proficiency with Microsoft Office Suite (Word, PowerPoint, Outlook).
  • Strong interpersonal skills with the ability to build rapport across all levels of the business.
  • A positive, team-oriented attitude with a focus on continuous improvement.
  • Experience in the manufacturing, construction, or logistics industries will be highly regarded, but not essential.
