About the role

The Document Controller plays a pivotal role in driving the smooth and efficient delivery of the KBT Redevelopment Project by overseeing robust document management processes. This role ensures all project documentation is accurate, controlled, compliant and easily accessible, while meeting governance requirements and industry standards. Acting as a key support partner to the Project team, the Document Controller provides expert coordination, administration and guidance to keep project information organised, reliable and flowing seamlessly across the project lifecycle

 Key Accountabilities

  • Manage project documentation, workflows, approvals, revisions, and version control. 
  • Maintain accurate registers, filing systems, and secure document management processes. 
  • Ensure compliance with document standards, metadata, and organisational procedures. 
  • Support document preparation, retrieval, reporting, and stakeholder coordination. 
  • Track transmittals, RFIs, correspondence, and project action items. 
  • Assist with project start-up, handover, close-out, and archiving activities. 
  • Conduct quality checks and contribute to continuous process improvement. 
  • Build collaborative relationships while supporting safety, quality, and compliance standards. 

 

What makes you a great fit? 

  • Demonstrated experience in a document control or records management role, preferably within infrastructure, construction, engineering, or project environments.
  • Experience supporting projects or operational teams with document management activities.
  • Working knowledge of document control processes, including document registration, version control, workflows, and records management.
  • Experience using electronic document management systems (EDMS/CDE) such as InEight, SharePoint, Aconex, Content Manager, or similar (intermediate level).
  • Understanding of engineering or project documentation (e.g., drawings, specifications, reports) and project lifecycle stages.
  • Ability to follow established procedures and maintain document control standards and compliance requirements.
  • Good organisational skills with the ability to manage multiple tasks, prioritise work, and meet deadlines in a fast-paced environment.
  • Well-developed written and verbal communication skills, with the ability to effectively interact with team members and stakeholders.
  • Ability to build and maintain positive working relationships across project teams and functions.
  • Collaborative approach, with the ability to work both independently and as part of a team.
  • Sound problem-solving skills, with a practical and systematic approach to resolving routine document control issues.
  • Willingness to learn, take direction, and escalate more complex matters to the Senior Document Controller when required.

 

Desirable:

  • Certificate or Diploma in Business Administration, Information Management, Project Management, or a related discipline.
