Job Description

The Document Controller will provide expertise and support to major program and project teams, acting as a central point for document management processes, storage protocols and information governance. The role is responsible for coordinating project documentation, supporting stakeholders, and serving as the first point of contact for document-related queries.

 

Principal Responsibilities

  • Maintain and update project registers including document registers, RFIs, action and issue logs, drawing registers and change logs
  • Track and report on document status, overdue items and key actions to support project team visibility
  • Manage the receipt, distribution, filing and storage of project documentation in line with established procedures
  • Apply and maintain consistent document control practices including version control, naming conventions and document workflows
  • Upload, organise and manage documents within project systems (e.g. EDMS, SharePoint or similar platforms)
  • Ensure documents are correctly recorded, accessible and auditable within project filing structures
  • Support project teams and stakeholders with document-related queries and system use
  • Liaise with consultants, contractors and suppliers to ensure documents are submitted and managed in accordance with project requirements
  • Assist in maintaining user access and permissions to ensure appropriate control of project information
  • Support change tracking by recording document revisions and maintaining accurate logs of updates and approvals
  • Assist in preparing regular reports and providing inputs to project reporting requirements
  • Maintain organised project filing systems and support ongoing improvements
  • Provide document and administrative support including data entry, filing, document collation and coordination tasks
  • Support audit activities by ensuring documentation is complete, accurate and up to date

Skills

  • Fully proficient in Microsoft Word, Excel, PowerPoint and management of databases
  • Fully proficient in document control systems such as InEight, Teambinder, Asite or other common EDMS
  • Documentation skills and strong focus on detail
  • Good verbal and written communications skills including ability to present information in a clear and concise format
  • Demonstrated ability to work effectively on own initiative, set priorities and work within required time lines
  • Well-developed interpersonal skills, with a willingness and capacity to work cooperatively as part of a multi- disciplinary team to meet project demands
  • Flexible and ability to multi-task

Experience

Demonstrable experience in document controls roles or similar within construction project environments.
