About the Role

You will provide a complete Supply Chain Service to all facilities of St Vincent’s including Caritas Christi Hospice, Prague House, St George’s Hospital, residential and community based units and other St Vincent’s facilities as directed. To actively participate in all warehouse functions, including inventory management and distribution.

  • Count stock to identify stock on hand, enter into scanner and order difference discrepancies

  • Liaise with the Nurse Unit Manager/Department Manager in relation to information on stock discrepancies/issues and expected delivery of stock. Provide a copy of the delivery docket to the Nurse Unit Manager/Department Manager, as appropriate.

The classification for this position will be GK6 ($62,540 per annum pro rata)

About The Procurement Department
The Procurement & Logistics Department (P&L) is responsible for the physical and electronic acquisition, receipt, warehousing and distribution of goods and/or services into and out of SVHM. The warehousing and storage function within P&L comprises a team of storeman led by the warehouse supervisor. Goods delivered to the various loading docks and warehouses across the SVHM sites are physically and electronically receipted by the P&L storeperson in a timely manner to ensure that product quality is assured, inventory levels are accurate, and, paperwork reflects the transaction undertaken. The P&L storeperson will also monitor department requirements against inventory levels and issue goods (and place order requests) into the internal departments on a daily basis or as otherwise required.

POSITION PURPOSE

To provide a complete Supply Chain Service to all facilities of St Vincent’s including Caritas Christi Hospice, Prague House, St George’s Hospital, residential and community based units and other St Vincent’s facilities as directed.   To actively participate in all warehouse functions, including inventory management and distribution.  To actively participate in the achievement of St Vincent’s quality and service objectives.

POSITION DUTIES

Duties will include:

1. Inventory Replenishment of Imprests

Barcoding stock (ordering stock)

  • Daily barcoding of imprests.
  • Scan products in sequence – need to match description of product on shelf to barcode label to description on screen of hand held scanner.
  • Count stock to identify stock on hand, enter into scanner and order difference.
  • Run Master Planning in D365.
  • Print acknowledgement sheet and review products ordered and quantity. Pick items from warehouse using scanner and complete any transfer picks using scanner. Identify any discrepancies and inform the Purchasing Officer immediately. Provide a copy of the completed acknowledgement sheet to the Purchasing Officer and Department Manager/NUM.

Delivery of stock (putting stock away)

  • Obtain CH2 delivery docket and allocate to the appropriate ward/department/SVHM site imprest stock, ensuring correct delivery location.
  • Deliver items to the allocated ward/department/SVHM site.
  • Put stock away onto shelves checking carton quantities and record discrepancies on the invoice/delivery docket.
  • Ensure product is located with the correct barcode label on the shelf and new barcode labels are printed, as required.
  • When stocking shelves rotate stock (first in, last out) and check expiry dates on product packaging.
  • Match invoice line for line by product description and quantities to receival docket.
  • Liaise with the Nurse Unit Manager/Department Manager in relation to information on stock discrepancies/issues and expected delivery of stock. Provide a copy of the delivery docket to the Nurse Unit Manager/Department Manager, as appropriate.
  • Record discrepancies identified when putting stock away on imprests and inform Purchasing Officer immediately.

2. Warehousing Activities

Picking Stock

  • Must display an understanding of medical and surgical products.
  • Accurate picking of stock from warehouse.
  • Ensure items picked from the warehouse are recorded in D365.
  • Report stock discrepancies to the Warehouse Supervisor.
  • Replenishment of warehouse stock.

Warehouse Stocktake

  • Participate in the warehouse annual stocktake as directed by the Warehouse Supervisor and/or the Manager/Deputy Manager.

Cleaning

  • Maintain a clean and tidy warehouse at all times.
  • Dust shelving, swept and wash warehouse floor as directed by Warehouse Supervisor.
  • Ensure all cardboard boxes are flattened and placed in recycle bins.
  • Ensure rubbish bins in the warehouse and warehouse office are emptied daily.
  • Ensure the Clean Room is cleaned regularly as per Infection Control Policies and Standards to ensure compliance to AS4187.

3. Distribution/Logistic Activities

  • Must be able to read and understand purchase order instructions in relation to delivery requirements.
  • Must be able to read and carry out delivery and storage requirements for Special Products, i.e., refrigeration, chemical storage.
  • Ensure work practices are flexible and adaptable to accommodate the changing needs of SVHM and the Procurement & Logistics Department.
  • Be proactive in ensuring that all products/items are delivered to the appropriate ward/department/SVHM site by the end of the business day.
  • Ensure all products/items are delivered to the correct location.
  • Participate as a team member using initiative to assist fellow colleagues if they are busy and you have completed your duties.

4. Receival Activities

  • Ensure a polite and pleasant manner when interacting with couriers and drivers and answering phone enquires.
  • Using delivery docket information, receipt delivery against relevant Purchase Order in D365.
  • Print purchase order receival from D365.
  • Attach purchase order receival to parcels, identifying the appropriate ward/department/site for the product/item to be delivered to.
  • Ensure product/item is delivered to the allocated ward/department/site.
  • When receiving products into the warehouse must be able to read delivery docket and then accept products/items or direct couriers to correct delivery points.  Do not accept deliveries that must be delivered direct by courier.

SELECTION CRITERIA

ESSENTIAL REGISTRATION, LICENSE OR QUALIFICATION REQUIREMENTS

  • Current Victorian Driver’s License and Forklift License
