We are seeking an experienced Document Controller to support project and organisational document management activities within a fast paced, collaborative environment. This role is critical in ensuring accurate, compliant, and timely control of all project documentation.
Key Responsibilities
Document Management & Control
- Establish, implement and maintain efficient project related document control registers and procedures.
- Plan, manage and record document flow to and from all relevant parties, including clients, subcontractors and internal project teams.
- Coordinate the storage, archiving and retrieval of project and organisational records.
- Ensure all project notes are current and clearly communicated to the wider team.
- Remove obsolete documents from circulation and ensure only current revisions are in use.
- Issue, track and manage document and drawing registers, transmittals and receipts.
- Investigate and rectify document discrepancies in a timely manner.
Drawings, Documents & Transmittals

Ensure all drawings, documents and associated transmittals are:
- Registered accurately with correct revision status and details
- Approved prior to issue
- Issued within required timeframes
- Filed in accordance with established procedures
- Clearly titled with correct project names
- Track document distribution and maintain visibility of document locations at all times.
Document Management Systems
- Administer and support the document management system, including identifying when additional metadata fields (Packages, Mail Types, Phases etc.) are required.
- Assist external vendors and consultants to comply with document submission procedures.
- Provide technical support and guidance to internal teams on system use and best practices.
Quality & Continuous Improvement
- Participate in the development and ongoing improvement of document control and quality management systems.
- Identify gaps in document control procedures and contribute practical improvement initiatives.
- Attend team meetings and actively contribute ideas for improved processes and efficiencies.
Team Support
- Participate in on‑the‑job training and mentoring of new staff.
- Provide document control support and guidance to other offices as required.
- Ensure emails are filed into appropriate project folders within 24 hours of receipt or issue.
About You
- Proven experience in a Document Controller or similar role, ideally within engineering, construction or project‑based environments.
- Strong attention to detail with a methodical and organised approach to work.
- Confident using document management systems and Microsoft Office applications.
- Excellent communication skills and a collaborative team mindset.
- Ability to manage multiple priorities while meeting tight deadlines.
